These terms govern services supplied by RF Healthcare Ltd and should be read alongside any quotation, proposal, course information, booking confirmation, online service description or service-specific agreement.
1. About these terms
RF Healthcare Ltd provides healthcare consultancy, training, IT and digital support, advisory and related services. Different services may have additional written terms. Where a quotation, proposal, online service description or service-specific condition clearly conflicts with these general terms, the more specific written term will apply to that service.
2. Public training bookings
- Public course places are booked through the RF Healthcare website and normally require payment at checkout unless we agree another arrangement in writing
- A place is confirmed once the payment process has completed successfully and an RF Healthcare booking reference has been generated. We will also send a confirmation email to the purchaser
- Places may be held temporarily while a purchaser completes payment, but an unpaid hold does not create a confirmed booking
- Purchasers and attendees must provide accurate information and meet any prerequisites stated for the course
- Certificates or awards may depend on attendance, participation, identity checks and successful completion of any required assessment
3. Online IT service orders
Defined IT and digital packages may be purchased through the RF Healthcare website. The service description, selected options and price shown in the basket form part of the order. Payment is taken securely through Stripe and an order is confirmed when payment has completed successfully and an RF Healthcare IT order reference has been generated.
A fixed-price package covers the scope stated for that package and the options purchased. If discovery identifies work outside that scope, we will explain the additional work and any extra charge before proceeding. Purchasing a package does not oblige RF Healthcare to perform undisclosed or materially different work for the package price.
Third-party licence, domain, certification, cloud, software or platform charges are only included where the service description or quotation expressly says so.
4. Monthly IT services and subscriptions
Where an IT service is sold on a monthly basis, Stripe may collect the recurring monthly charge shown at checkout. Any minimum term, notice period or service-specific cancellation arrangement stated when the service is purchased or subsequently agreed in writing forms part of the service. If no such minimum term or notice period has been stated, RF Healthcare will not rely on an undisclosed minimum term or cancellation charge.
Please contact us before the next renewal if you want to cancel or change a monthly service. Cancellation of the operational service and cancellation of the Stripe subscription need to be completed together. Charges already properly incurred remain payable, and any statutory rights remain unaffected.
Unused support time or fair-use allowances do not automatically roll forward unless the service description or a written agreement expressly says they do.
5. Prices, VAT and payment
Course and online IT-service prices are displayed exclusive of VAT where stated. The relevant checkout journey shows VAT and the total amount before payment is completed. Card payments are processed securely by Stripe. RF Healthcare does not store full card details.
Consultancy, organisation-training, IT and digital-service fees, VAT treatment, deposits and payment dates will be set out in the relevant online order, quotation or agreement. Late payment may delay delivery and we may recover reasonable costs associated with overdue business debts where the law permits.
6. Cancellations, transfers and substitutions
Any cancellation or transfer term stated for a particular course at the time of booking or in the booking confirmation forms part of the booking. If no separate course-specific cancellation charge has been stated, RF Healthcare will not rely on an undisclosed cancellation fee. Please contact us as soon as possible if you need to cancel or move a booking so that we can consider the available options fairly, including transfer or refund where appropriate.
A different attendee may normally take a booked place without an additional administration charge if RF Healthcare is told before the course starts and the replacement attendee meets any course or awarding-body requirements. This does not affect any statutory rights that apply to the purchaser.
7. Changes or cancellation by RF Healthcare
We may need to change a trainer, venue, timetable or other delivery detail where reasonably necessary. If a material change means you can no longer attend, we will work with you to arrange a suitable alternative where possible.
If RF Healthcare cancels a public course and cannot offer an acceptable alternative, the affected booking will be refunded. Unless required by law or expressly agreed in writing, RF Healthcare is not responsible for separate travel, accommodation or other consequential costs incurred by attendees.
For an IT or digital service, we will communicate any material change to the agreed scope or our ability to deliver it. Where RF Healthcare cannot supply a paid service and no suitable alternative is agreed, we will address the affected charge fairly, including refund where appropriate.
8. Refunds
Approved refunds are returned using the payment route available to RF Healthcare and may take additional time to appear depending on the payment provider or bank. A refund does not affect records we are required to retain for accounting, tax, safeguarding or regulatory purposes. Changing an internal delivery status does not itself create or process a financial refund.
9. Organisation and on-site training
Closed courses, on-site training and bespoke delivery are subject to the agreed quotation, including venue, equipment, learner numbers, access, cancellation and rescheduling requirements. The client is responsible for providing a safe and suitable environment and accurate information about relevant risks or access needs.
10. Consultancy and professional services
The scope, deliverables, assumptions, timescales, fees and any service-specific limitations for consultancy work will be set out in a written quotation, proposal or agreement. Advice is based on the information reasonably available at the time. The client remains responsible for its own governance, regulatory duties, decisions and implementation.
11. IT, digital and hosting services
IT, website, hosting and digital work will be delivered to the scope agreed in the relevant online service description, quotation, proposal or service agreement. The client is responsible for providing accurate information, timely access and any permissions reasonably needed to complete the work.
Third-party services such as Microsoft 365, domain registration, cloud infrastructure, software licences, hosting platforms or other subscriptions may be subject to separate provider terms, pricing and availability. Unless expressly included in the service description or quotation, third-party charges are not included in RF Healthcare fees and changes made by those providers are outside our control.
Where RF Healthcare hosts, configures or supports a website, server or other system, the agreed service scope will determine responsibilities for maintenance, backups, monitoring, updates and recovery. No internet, hosting or technology service can be guaranteed to be continuously available or completely secure.
Clients remain responsible for the legality, accuracy and rights associated with content, software, data and materials they ask us to host, publish, migrate or configure, unless a specific written agreement states otherwise.
12. Cyber Essentials support
RF Healthcare may provide Cyber Essentials readiness reviews, practical remediation support and assistance preparing for assessment. Cyber Essentials certification is issued through an approved certification body. Unless expressly agreed through an appropriate certification arrangement, our work does not itself constitute certification or guarantee that an organisation will pass an assessment. The certification-body assessment fee is separate unless the relevant service description or quotation expressly includes it.
13. Client responsibilities
- Provide accurate information and timely access to relevant people, records, premises, systems or accounts
- Tell us promptly about changes that may affect delivery, safety, security or risk
- Ensure people attending training are suitable for the course and are made aware of relevant joining instructions
- Maintain suitable control of administrator accounts, passwords, multi-factor authentication and other credentials unless management of a specific control is expressly included in the agreed IT service
- Do not send passwords or other sensitive credentials through ordinary email unless we specifically agree an appropriate secure method
- Use RF Healthcare materials only for the agreed purpose and in accordance with any licence, third-party or awarding-body restrictions
- Retain responsibility for organisational decisions, statutory duties and implementation
14. Confidentiality and data protection
Both parties will protect confidential information received through an engagement and use it only for legitimate purposes connected with the work. Personal data is handled in accordance with UK data-protection law and the RF Healthcare Privacy Policy. Where RF Healthcare acts as a processor for a client as part of an IT, website or hosting service, additional data-processing terms may apply.
15. Intellectual property
RF Healthcare retains ownership of its pre-existing methods, templates, course materials, code components and other intellectual property unless agreed otherwise in writing. A client may use deliverables created specifically for them for the agreed purpose, subject to any third-party, software, template, font, image, awarding-body or open-source rights and licences.
16. Liability and statutory rights
Nothing in these terms excludes or limits liability where it would be unlawful to do so. Nothing in these terms removes rights a consumer has under applicable law. Subject to those protections and any service-specific written agreement, RF Healthcare is not responsible for indirect or consequential business loss arising from use of consultancy advice, training materials or IT and digital services.
17. Events outside reasonable control
Neither party will be treated as having breached an obligation where performance is prevented by an event outside its reasonable control, provided reasonable steps are taken to minimise disruption and communicate promptly. Payment obligations for services already properly supplied are unaffected.
18. Complaints
Questions or concerns should be sent to info@rfhealthcare.co.uk. We will acknowledge and respond in line with our complaints process and will try to resolve concerns fairly and promptly.
19. Governing law
These terms are governed by the law of England and Wales. Where the law gives a consumer the right to bring proceedings in another part of the UK, those statutory rights are unaffected.
